How to Track Expenses in 5 Currencies at Once

Managing money in multiple currencies is not a niche problem. Digital nomads, expats, frequent business travelers, and people in border regions all deal with this. You get paid in one currency, live in another, and travel through several more.

The tools built for single-currency households do not help here. Here is a system that actually works.

The math problem you are not solving

First, a clarification about what multi-currency tracking actually is versus what it is not.

You are not trying to know the exact USD value of your total spending across all currencies at any given moment. Exchange rates fluctuate. That number is always changing and never exactly right.

You are trying to understand:
- What you spent in each currency (for budgeting in each context)
- Where your money went by category
- Whether your overall spending is increasing or decreasing over time

These questions do not require precise currency conversion. They require consistent logging.

The system

Log in local currency, always. When you spend JPY, log JPY. When you spend EUR, log EUR. Do not convert in your head at entry.

Tag by location or currency. Include a brief note: "Tokyo groceries 2000 JPY" or "Berlin coffee 3.50 EUR." This creates a filter later.

Separate wallets or categories per currency. Some apps let you create a wallet per currency. If yours does, use it. If not, currency tags in the notes field work just as well.

Monthly review by currency. At month end: how much did I spend in each currency? What were the top categories per currency?

This answers the questions you actually need answered.

Handling conversion for the bigger picture

When you do need a combined view - for annual planning, for understanding your total cost of living, for tax purposes - you need to convert at some point.

The cleanest approach: use the exchange rate from the last day of the month for all transactions in that month. XE.com or your bank's historical rates work for this.

This gives you a consistent "this month I spent X USD equivalent total" without requiring you to track rates at every purchase.

Apps that handle this

This is the same discipline as any expense tracking, amplified. With one currency, delayed logging costs you accuracy. With five currencies, delayed logging costs you the entire record.

What changes when you have clean data

After two or three months of consistent multi-currency logging, the picture becomes genuinely useful. You can answer questions like: "Is Berlin actually cheaper for me than San Francisco?" - not as an assumption, but as a comparison backed by your actual spending data.

This is the value of the system. The tracking is the work. The insight is the reward.
